  • Start with the basic ratio of one guard per 100 guests for indoor venues. This is your minimum for controlled environments like halls or conference centres. Outdoor events need more, and this is where a reliable event security company becomes essential.
  • Double that ratio for outdoor festivals or events with alcohol. Outdoor spaces are harder to secure. Alcohol increases risks. Plan for one guard per 50 guests minimum when these factors apply.
  • Add dedicated guards for each entrance and exit point. These guards can’t leave their positions to handle other issues. If you have three entrances, that’s three guards just for access control before you count anything else.
  • Station at least two guards at each bar area throughout service. One guard per bar isn’t enough when crowds build up. You need coverage that allows bathroom breaks and response to incidents without leaving bars unguarded.

  • Add guards specifically for parking area management. Vehicle areas need supervision separate from your main event space. Plan at least one guard per parking entrance and roving patrols for larger lots.
  • Include a security supervisor or team leader in your count. This person coordinates the entire security operation. They don’t do regular guard duties. They manage, communicate, and make decisions.
  • Account for any special guests or performers needing close protection. High-profile individuals require dedicated personal security officers. These guards don’t contribute to general event coverage.
  • Add extra guards for areas with expensive equipment or stock. Merchandise sales, technical equipment, anything valuable attracts theft. Dedicated guards protect these assets.
  • Plan additional coverage for peak times during your event. Arrival period, main performance times, departure. You might need fewer guards during quiet afternoon periods but more when everyone’s arriving or leaving.
  • Consider medical support area security. First aid tents or medical areas need guards nearby to protect medical staff and prevent unauthorised access to medications.
  • Factor in break coverage so guards can rest and eat. Security staff work long hours on their feet. They need breaks. Your total count must include relief guards who cover during breaks.
